Academic Standing Outcomes

The Academic Review Board (ARB) meets regularly to determine the academic progress of all students according to the standards outlined in the previous section. As noted, additional requirements may apply to some majors/programs. Each student is reviewed individually. The measures of academic progress are independent, and students must therefore meet all the requirements (credits, cumulative GPA, and Field Period® completion if applicable) to demonstrate SAP. Any student failing to meet any of the minimum criteria for satisfactory academic progress will receive one of the following actions: letter of concern, academic warning, probation, or suspension. In some cases, the ARB may recommend alternative actions appropriate for specific situations. 

Satisfactory Academic Progress Outcomes

A. Academic Review Board General Actions

1) Letter of Concern: Received after the first full semester of attendance, any freshman-admit student with a cumulative GPA less than 1.75 will receive a formal letter from the Office of Academic Affairs.

a) Impacts: Advisors will be informed.
b) Financial aid: No financial aid implications.
c) Tracking and documentation: Letter of Concern status will not be noted on the student’s transcript; however, it will be documented and tracked in the college’s internal student information system.
d) Appeals: There is no appeal process for a Letter of Concern.

2) Field Period® Warning: Received for any semester, other than the student’s first. Failure to meet ONLY the Field Period® criteria of SAP will lead to a Field Period® warning. Only one warning will be issued per term, and the letter will indicate that the student is not making sufficient academic progress in Field Period® completion (may be more than one).

a) Impacts: Students on Field Period® Warning will be required to meet with their academic advisors to create a plan for Field Period® completion to bring the student in line with SAP. A student on Field Period® Warning is allowed to participate in intercollegiate athletics and all roles within student organizations/clubs.
b) Financial aid: No financial aid implications.
c) Tracking and documentation: Field Period® Warning status will not be noted on the student’s transcript.
d) Appeals: There is no appeal process for an Field Period® Warning.

3) Academic Warning: Received for any semester, other than the student’s first, where SAP is not met.  Failure to meet any component of SAP will lead to an Academic Warning. Only one warning will be issued per term, and the letter will indicate the problem areas (may be more than one).

a) Impacts: Students on Academic Warning will be placed on an academic plan/contract requiring them to attend all classes and have bi-weekly meetings with their academic advisors. A student on Academic Warning is allowed to participate in intercollegiate athletics and all roles within student organizations/clubs.
b) Financial aid: No financial aid implications.
c) Tracking and documentation: Academic Warning status will not be noted on the student’s transcript; however, it will be documented and tracked in the College’s internal student information system.
d) Appeals: There is no appeal process for an Academic Warning.

4. Probation: Received when a student with one Academic Warning fails to achieve SAP in any following semester.

a) Impacts: Students on Probation will be placed on an academic plan/contract requiring them to attend all classes and have bi-weekly meetings with their academic advisors. In addition, students on Probation will not be allowed to participate in intercollegiate athletics or hold leadership positions within student organizations/clubs (although they may participate as regular members).
b) Financial aid: There are no financial aid implications. For purposes of financial aid, a student on Probation is still considered in “good academic standing” and is therefore eligible for financial aid.
c) Tracking and documentation: Probation status will be noted on the student’s transcript, and will be documented and tracked in the College’s internal student information system.
d) Appeals: Students may appeal the Probation status and its impacts only in the case that Field Period® completion has been the only area of SAP non-compliance. The Academic Review Board (ARB) will review student-generated appeals that meet this criterion and will decide the status of the appeal. If the appeal is granted, the student will be placed on a second Academic Warning status. If the appeal is not granted, the student will remain on Probation status.

5. Suspension: Received when a student on Probation status fails to achieve SAP in any following semester. However, a student may not receive Suspension if Field Period® completion is the only area of non-compliance at the time of the ARB review. In this case, the ARB may decide to place the student on a second Probation.

a) Impacts: Students on Suspension will not be allowed to take classes the following term. A suspended student will have the opportunity to appeal this action (see below). If the appeal is granted, the student will be moved to Suspension Appeal status and be allowed to continue as a matriculated student the following term. Students on Suspension Appeal will be placed on an academic plan/contract similar to Probation, including required class attendance and required bi-weekly meetings with their academic advisors. In addition, students on Suspension Appeal will not be allowed to participate in intercollegiate athletics or hold leadership positions within student organizations/clubs (although they may participate as regular members). If the appeal is not granted, the student will not be allowed to continue with classes and will be withdrawn from the college.
b) Financial aid:  Students on Suspension Appeal are considered to not be “in good academic standing” and therefore are not eligible to receive financial aid. However, there is the possibility of a one-time waiver for financial aid eligibility. The suspension appeal process incorporates the financial aid appeal request.
c) Tracking and documentation: Suspension and/or Suspension Appeal status will be noted on the student’s transcript, and transcript and will be documented and tracked in the College’s internal student information system.
d) Appeals: Students may appeal the Suspension status and its implications on any grounds. The ARB will review student-generated appeals and will decide the status of the appeal. If the appeal is granted, the student will be moved to Suspension Appeal status and allowed to continue as a matriculated student the following term. If the appeal is not granted, the student will not be  allowed to continue with classes and will be withdrawn from the College.

B. Academic Review Board Discretionary Actions

1. The Academic Review Board may place an academically deficient student on academic probation if the Board determines that an additional semester at Keuka College is warranted by the student’s performance or potential.
2. A probationary student not improving his/her performance during a probationary semester is subject to immediate dismissal before or at the end of the semester.
3. A student improving his/her performance but not yet back in good standing may be eligible for a second probationary semester—at the Academic Review Board’s discretion. A second semester of academic probation is possible, but not guaranteed.
4. The Academic Review Board may immediately suspend a student failing to achieve good standing without having awarded him/her a probationary semester. Suspension is automatic after a student has had a total of two semesters on academic probation.
